The Records tab
If you are using the multi-user version of PracticeMaker®, you have
access to the Records tab. This screen is divided into
sections.
User
Definable fields
The top
section
has sixteen fields whose labels and pop-up lists you can define to be
anything
you want. You can flag patients for future reference and then search
one
or many fields to have just those patients that match your particular
request.
To edit any of the field labels click the Edit Labels button to get the dialog
below.
In order to define the field labels you must do the following:
- Select
the Field Number you want to edit. There is a small number next to each
field to assist you.
- Type in what you want the field label
to be and click Continue.
- If you believe someone else has edited
these fields, click the Reload Labels
button.
Messages,
Tickles, Other
This very valuable
function
store all phone calls, patient messages, and
tickles
(also called “to do’s”) related to this patient. Please read about
these
function in the RecordsPM
section.
Correspondence,
Forms, etc.
The Letters Module,
if part of your setup,
is used to create and print letters, instructions, operative notes,
history
& physical forms and more. The list shows all records for this
patient.
- Click
New to
start a new letter and confirm your action at the dialogs.
- To view a listed record just click on
it.

Medications
This list has all
the
patient’s
medications, even those not prescribed by your practice. Unlimited
entries are
allowed
and the RecordsPM database
stores
these medications. On the left is the drug Selector list. From
the
pop-up list select the type of medication you want to select from. To
add
one of these medications to the patient's list click the blue arrow icon
. Read the
chapter in PickList User about
entering and maintaining
your Medications List.
- Drug Name
and related specifics are
stored
in the PickList User
database.
- The fields Drug | Generic have the drug's trade
name and generic equivalent in parentheses.
- The fields O B
and
C have special meaning.
- O is
checked if the medication was
prescribed
by another physician (this is the default!)
- B is checked
for “brand only” when
dispensed.
- C is checked
if this is a current
medication
- The fields Dose,
Size, and Dosing,
have
pop-up lists based on the information related to THAT medication.
- The Location field has a pop-up list based
on the values you setup in your Medication List.
- Ref is for how many refills you would prescribe
for
this medication
- The Start Date is when this
medication
was started. For a medication prescribed elsewhere this may just be an
estimate.
The blue arrow icon
inserts today's date.
- End Date
is
when this medication was stopped. For a
medication
prescribed elsewhere this may just be an estimate. The blue arrow icon
inserts
today's date.
- Reviewed is
the date you last reviewed this medication with the patient. The blue arrow icon
inserts
today's date.
- Last Refill
is the date you last refilled this medication.
- The Dr column is for the doctor in the
practice
responsible
for this medication.
- The Print Manager button allows you to view and
then
print 1 to 5 medications per prescription. To learn more about viewing
and
printing prescriptions read the RecordsPM
chapter.
- To delete
a patient’s
medication click the trash can icon
.
However,
you may want to keep the medication
there, just deselect it as being C!
There is also color coding
of medications, too, so that you know at a
glance
what is current and what is not.
- Current medications
for
this patient from your practice
are
green.
- Previous medications for this patient from your
practice
are yellow
- Current medications for this patient from another
practice are pink
- Previous medications for this
patient
from another practice are
uncolored
In Allergies enter all allergies to medications the patient
has.
Do NOT use abbreviations!
